Privacy Policy

Last updated 28 October 2026

This policy explains how SynapAi handles personal data in AIcounting, in line with India's Digital Personal Data Protection Act, 2023.

What we collect

  • Account details: name, email address and sign-in information (including from Google if you choose it).
  • Organization data: entities, ledgers, journals, invoices, bank statements and uploaded documents.
  • Activity records: audit log entries, approval decisions and AI assistant usage.

How we use it

  • To provide the Service: record and report your books, enforce approvals and keep an audit trail.
  • To send account and team-invitation emails.
  • To answer AI assistant questions; the question and relevant context are sent to our AI model provider for that purpose only.
  • To secure the Service and prevent misuse.

We do not sell your data or use your accounting records for advertising.

Who can see it

Only members of your organization, and accounting firms you have linked, according to their roles. Our infrastructure and email/AI providers process data on our behalf under confidentiality obligations.

Storage and security

Data is encrypted in transit, isolated per organization by access rules enforced on our servers, and uploaded files are kept in private storage. Accounting records are retained while your account is active and as required by law (books of account generally for at least 8 years).

Your rights

You may access, correct or request erasure of your personal data, withdraw consent, and nominate another person to exercise these rights, subject to legal retention duties. Contact our Grievance Officer at [privacy contact email]; we respond within 30 days.

Changes

We will notify administrators of material changes to this policy.
